You can attach relevant documents, such as contracts, maps, permits, or invoices, directly to an Item record. Similar to certificates, you can either link documents that already exist in the system or upload new files from your device.
Attach Documents to an Item
Select an Item: From the main list, click on the Name of the Item (e.g., Forest ABC) to open its details panel.
Navigate to Documents: In the left-hand navigation bar, click the Documents icon (icon resembling a sheet of paper).
Initiate Addition: Click the Add documents button (or the + icon) located in the top right corner of the Documents panel.
Link Existing Documents
If a document has already been uploaded to the platform, you can quickly link it to this Item.
Browse the List: The Add documents side panel will display a list of available files. You can use the search bar to find a specific document by name.
Select the Document: Hover over the file you wish to attach. Click the + Add text or the plus icon on the right side of that row.
Confirmation: A green confirmation message saying Document added will appear, and the file will appear in the main list for that Item.
Add New Documents
If the file is currently on your computer, you can upload and attach it in one step.
Select Add New: In the Add documents panel, click the Add new text link located in the top right corner.
Upload File: A full-screen modal titled Attach new documents will appear. Click the Choose file(s) button to browse your computer, or drag and drop your file into the designated area.
Edit Document: Once the file appears in the list, you can Split/Redact, View, or Remove the documents by hover on the Name and clicking the small icons on the right.
Define Document data: You can configure several optional details before finishing the upload:
Type: Use the dropdown menu to categorise the document (e.g., Invoice, Permit).
Private: Toggle this setting if you wish to restrict visibility. Enabling this "Will exclude the document from sharing".
Tags: Add keywords to help organise or find the document later.
Dates: You can specify the Issuance date, Valid from, and Valid to dates by selecting them from the calendar pickers.
Review and Submit: Once the file is selected and listed in the upload queue, click the black Upload documents button in the bottom right corner. A green confirmation message saying Document added will appear upon completion.
View, Download and Detach Documents
Once documents are attached to a Item, you can view them directly in the platform, download them to your device, or remove them if they are no longer needed.
View a Document
To preview a file without downloading it:
Locate the File: Navigate to the Documents tab of the Item.
Open Preview: Hover your mouse over the document row you wish to see. Click the View icon (represented by an eye) that appears in the row's action buttons.
Download Documents
You can save copies of your documents locally.
Single Download: Hover over a specific document row and click the Download icon (an arrow pointing down into a tray).
Bulk Download: Select multiple documents by clicking the checkboxes on the left side of the list. A floating action bar will appear. Click the Download icon in this bar to save all selected files at once.
Detach Documents
If a document was attached in error or is no longer relevant, you can remove the link to the Item.
Single Detach: Hover over the document row and click the X icon on the right.
Bulk Detach: Select the documents you wish to remove using the checkboxes. In the floating action bar that appears, click the Detach button (the green X icon). This will remove the selected documents from the Item.
